Exporting pool tables from Vietnam: procedures, packing and container shipping

Exporting pool tables differs from exporting ordinary furniture in one respect: every table carries several heavy, fragile slabs of slate. So beyond customs formalities, packing and container loading are what decide whether the goods arrive intact. This article sums up what buyers and sellers need to prepare.

The HS code for pool tables

Pool tables and billiard accessories are usually classified under heading 9504.20 (articles and accessories for billiards) of the Harmonized System. The detailed 8–10 digit code and duty rate depend on each importing country's tariff schedule, so buyers should confirm with their customs broker at home.

Basic export documents

  • Commercial Invoice and Packing List: listing the number of packages and the weight and dimensions of each.
  • Bill of Lading issued by the shipping line or forwarder.
  • Certificate of Origin (C/O): lets the buyer claim preferential duty under a free trade agreement between Vietnam and the importing country, if the goods meet the rules of origin.
  • Fumigation / heat-treatment certificate for wooden packaging, where the importing country requires it.
  • Phytosanitary certificate for markets with strict rules on timber products.

Choosing delivery terms (Incoterms)

  • EXW: the buyer arranges transport from the factory. Suits buyers with their own forwarder in Vietnam.
  • FOB: the seller delivers the goods on board at the port of export. This is the most common term for exported pool tables.
  • CIF: the seller pays freight and insurance to the destination port.
  • DDP: the seller handles import duties and formalities and delivers to the door. Convenient for the buyer, but more expensive and needs careful agreement.

Goods from northern Vietnam usually ship through Hai Phong port, and goods from the south through Cat Lai (Ho Chi Minh City).

Packing pool tables for export properly

Tables are always dismantled for packing. Good practice usually includes:

  • The slate in its own timber crate, with EPE foam padding and corner protectors, never bearing load from other packages.
  • Frame, legs and rails wrapped in several layers of PE film and packed in 5-ply cartons.
  • Pallets and crates treated to ISPM 15 (heat-treated or fumigated, with the certification stamp) so goods are not held at the destination port.
  • A packing list and identification code on every package so each set is assembled correctly on arrival.

How many pool tables fit in a container?

The number depends on table size, slate thickness and crating method. For dismantled 9ft tables, Athena's current packing specification fits:

  • 20ft container: 28 × 9ft tables.
  • 40HQ container: 50 × 9ft tables.

7ft and 8ft tables are smaller, so more will fit; the exact figure is calculated for each order. Note that a 20ft container usually hits its weight limit before it runs out of space, because slate is very heavy.

Common risks and how to avoid them

  • Broken slate: caused by crates placed the wrong way or crushed under load. Ask for a container loading plan and photos taken during loading.
  • Damp and mouldy timber: caused by long voyages through tropical regions. Timber must reach a stable moisture content before packing, and desiccant packs should go in the container.
  • Missing parts at assembly: include a stock of spare parts such as screws, diamond sights and corner castings.
  • Document discrepancies: the description, package count and weight must match across all documents for fast clearance.

Frequently asked questions

Is third-party inspection needed before export?

It is not mandatory, but many importers hire an independent inspection company to check the goods before container loading to reduce risk.

Is it hard to assemble the tables in the importing country?

Pool tables need a technician who knows how to level slate. The manufacturer should provide detailed assembly instructions and remote technical support for the local installation team.
